GENERAL DESCRIPTION 

Reporting to the Director of Career Services, the Office and Marketing Coordinator performs a broad range of highly skilled, administrative and clerical work for Career Services, including coordinating marketing and communications.   Duties and responsibilities are varied and may be confidential in nature.                               

ESSENTIAL FUNCTIONS

Monitor office operating budget and process budget-related requests, including payments to vendors, financial reports, and other budget-related duties.

Hire, train, and supervise student office assistants.

Manage office communications and reception duties, including managing telephone calls, greeting visitors, collecting and distributing electronic and print mail, and working to foster a welcoming environment for Career Center visitors and colleagues. 

Maintain office statistics, compile regular reports, research and report on data requests and metrics as requested utilizing the Career Service Management (CSM) platform and other electronic means.

Post, review, and evaluate job/internship postings utilizing provided rubric and protocol through the Career Service Management (CSM) platform,

Participate as an active member of the Claremont Colleges Employer Relations Committee with the support and direction of the Senior Associate Director of Career Services.

Coordinate marketing and communications regarding career center events, programs and resources utilizing print and electronic media, including social media and website administration.  This includes working with the Office of Communications, Student Affairs, and other departments and offices.

Support aspects of on-campus student employment including reviewing and posting on-campus positions, supporting on-campus supervisors in posting positions, and organizing and implementing the On-campus Job Fair and other related events.

Maintain office schedules, appointment calendar, and events calendar.

Provide support for Career Center events and programs, including room reservations, room set-up, food orders, and similar support.

Order, inventory, and maintain office supplies and career advising resources and supplies.

Manage resource library.  Order new materials, catalogues, and update listings

Perform administrative and clerical support duties for all career services staff.

Perform other related duties as required.

Basic Qualification :  Graduation from high school plus two or more years of college or business school equal to at least two years college, with courses in office administration and organizational procedures; or any combination of education, training or experience that provides the required knowledge, skills and ability.  Bachelor’s degree highly preferred. Two – three years of increasingly responsible office-related experience, preferably in an academic institution.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
The individual must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.
 

Excellent organizational skills and attention to detail.

Demonstrated computer skills, including experience with Microsoft Office, social media platforms, and experience with database systems.

Knowledge of or ability to learn project management software (e.g. Notion, Asana, etc.), open source graphic design platforms (e.g. Canva), career service management platforms (e.g. Handshake, Symplicity, etc.), budgeting and HR platforms (e.g. Workday) and customer relations management systems.

Adept at collaborating and engaging with student and faculty/staff populations in a diverse and socially progressive environment.

Must possess excellent interpersonal and communication skills.

Read, write legibly, follow written and oral instructions

Knowledge of business math and basic accounting procedures. Ability to maintain multiple accounts, monitor purchase agreements, contracts and other accounting matters for the department/office.

Sort and file alphabetically and by project or subject related headings. 

Maintains confidentiality, including confidential records, remains open to others’ ideas, exhibits a willingness to try new things, demonstrates composure and assertiveness in addressing conflict, and has an appreciation for collaborative interactions with faculty and staff.

Speaks English clearly, persuasively and cordially; communicates effectively with individuals from multiple constituencies within the institution in a diverse and socially aware environment.

Writes English with attention to spelling, grammar, accuracy and the needs of the target audience; presents numerical data effectively; articulates a compelling message; and uses various mediums of communication effectively (e.g. emails, memos, social media, etc.).

Ability to hire, supervise, and direct work of part-time or student workers.

Supervisory Responsibility : Yes, student employees, as needed
Time Type:   Full-time 40 hours per week
Annual Pay Schedule:   12
Work Schedule : The regular hours for this position will be scheduled between 8:00 am to 5:00 pm, Monday through Frida y.  These hours may vary due to needs of the College or department.
Licenses/Certifications : Must have valid driver’s license and a driving record insurable under the College’s General Liability policy.

Compensation: Budgeted Salary Range $24-$26 per hour

Physical Requirements : This is generally a sedentary position. 

Must be able to sit for prolonged periods of time.

Must be able to operate a computer for prolonged periods of time.

Must be able to assist with the set-up and tear-down of events, including tables, signage and other materials.

Ability to reach overhead, grasp, pull, push, bend, stoop, and lift up to 20 pounds unassisted.
